How Do I Setup and Maintain PHONEslips?

Setting up the server and clients:

Set up a workstation
Set up a workstation for more than one user

Maintenance:

Reindex databases
Rebuild databases
Remove old information from databases
Check to make sure all users are logged out of PHONEslips
Find out what network path or drive my PHONEslips installation is located on
Add new user licenses

Setting up a workstation for first time use

Note: You do NOT need to use the PHONEslips CD on any computer other then the PHONEslips server.

Step 1) Sit at the computer you wish to setup PHONEslips on.

Step 2) In the lower left hand corner of your windows screen, click on the 'Start' button.

Step 3) Click on the run button.

Step 4) Type in the letter of the drive that PHONEslips is installed on followed by a colon(:) and a backslash(\) then type setup.exe. For example, g:\pslips\setup.exe. When this is filled out you can click the "Ok" button.

Step 5) Simply follow the onscreen directions provided by the setup program.

Setting up a workstation for multiple users

  PHONEslips now provides the ability for multiple copies of PHONEslips to run on a single computer. This feature enhancement was developed for those situations where multiple users share a single computer. Each user can have their own Toolbar active on the computer for notification purposes. Each copy runs independent of the other, with all user preferences and defaults specific to their respective copy. The number of concurrent copies allowed to run on a single computer is limited to the number of user licenses available in PHONEslips. For example, If an office purchased a 5 user license, and 3 copies of PHONEslips are active on a single computer, only the 2 remaining licenses are available for users on other computers.

  In order to determine specific user information for the PHONEslips program, a PSLIPS.INI file is created during setup and stored in the C:\WINDOWS directory at that computer. When multiple copies of PHONEslips are desired on a single computer, a separate shortcut with a unique INI file must be created for each PHONEslips user on that computer and the path to that .INI file must be referenced in the shortcut properties, in the 'Target' field.

  As seen in this PHONEslips Shortcut properties screen, an .INI file is referenced for the PHONEslips user Bob. The Target description first specifies the location of the PHONEslips executable program L:\PSLIPS\PSWIN32.EXE and next the location of the unique INI file for that user. In this case a PSBOB.INI file was created in the C:\USERS directory. When an INI file is specified in the Shortcut Target field, PHONEslips ignores the standard PSLIPS.INI file in the C:\WINDOWS directory and uses the settings and parameters of the INI file specified in the Target field.

  Each running copy of PHONEslips must be launched using a unique Shortcut and INI file for each user. A common scenario with the proper instruction for facilitating a multiple PHONEslips user is listed below.

  Suppose you have a single computer shared by Bob, John and Sally. They each want to be notified when messages are sent to them using their own copy of PHONEslips.

Step 1) First run the setup program at the workstation to create a PSLIPS.INI file in the C:\WINDOWS directory.

Step 2) Create a directory where you want to store each users personal INI file. For example, create a users directory on that computer C:\USERS

Step 3) Copy the PSLIPS.INI file from the C:\WINDOWS directory into the C:\USERS directory three times, changing the name as the file is being copied each time. The syntax would be copy c:\windows\pslips.ini c:\users\psbob.ini. Copy the file again using psjohn.ini and pssally.ini respectively.

Step 4) sample PSLIPS.INI file is listed below:

Step 5) Modify each copied INI file, (psbob.ini, psjohn.ini, and pssally.ini) in the users directory using edit or notepad, and change the Name= parameter to the respective PHONEslips user name. For example, in the PSBOB.INI change the Name= parameter to Name=BOB etc.

Step 6) The final step is to create 3 individual shortcuts. A Shortcut for each user, specifying their appropriate INI file. Refer to the sample Shortcut properties screen here for proper syntax.

  Once the Shortcut is created, launch the program by double clicking on the new shortcut that you created for each user. Each ToolBar will indicate the name of the PHONEslips user assigned to that copy of PHONEslips.

Reindexing databases

WARNING!!!!!!!
EVERYONE MUST BE CLOSED OUT OF PHONESLIPS IN ORDER TO REINDEX!

Step 1) Have everyone close PHONEslips. To do this click on the X in the upper right hand corner of the PHONEslips toolbar, or right click on the PHONEslips system tray icon and choose 'Shutdown'.
Step 2) Open up the PSAdmin program by running psadmin.exe from the Pslips folder on the PHONEslips server..

Step 3) Click on the 'File' menu then select 'Reindex'. Click here for an example.

Step 5) Choose all databases, and make a backup copy before clicking ok. When the reindex process is finished, close down the PSAdmin program and return to using PHONEslips.

Rebuilding your databases

WARNING!!!!
EVERYONE MUST BE CLOSED OUT OF PHONESLIPS IN ORDER TO REBUILD DATABASES!

Step 1) Have everyone close PHONEslips. To do this click on the X in the upper right hand corner of the PHONEslips toolbar, or right click on the PHONEslips system tray icon and choose 'Shutdown'.

Step 2) Open the PSAdmin program. This program is located in the PHONEslips folder.

Step 3) Click on the 'File' menu and select the 'Rebuild' menu item as shown in this example.

tep 54) Read the message that appears and click ok. When finished, close the PSAdmin program and resume using PHONEslips.

Archiving databases

Step 1) Have everyone close PHONEslips. To do this click on the X in the upper right hand corner of the PHONEslips toolbar, or right click on the PHONEslips system tray icon and choose 'Shutdown'.

Step 2) Open the PSAdmin program, this program is located in the PHONEslips folder.

Step 3) Click on the 'Archive' menu and select the 'Create' menu item as shown in this example.

Step 4) This will bring up a new window asking for information on where you wish to store the archive, what date ranges to archive from, what to include in the archive and if you want the archived messages removed from the current database. Read these directions carefully and enter the information it asks for. When finished close the PSAdmin program and return to using PHONEslips.

Checking to make sure all users are logged out of PHONEslips.

Step 1) Open the PSAdmin program by running psadmin.exe from your PHONEslips server's pslips directory.

Step 2) Click on the User menu and choose 'Display User Status'. Click here for an example.

Step 3) View the list, any entries with [Active] under the status column are logged in. Click here for an example.

Note: It is possible for a user to be listed as Active even if they are not running PHONEslips, if the user was abnormally disconnected from PHONEslips (for example if their computer crashed or they lost network connectivity).

Finding out where the PHONEslips files are installed

Step 1) At a client machine where PHONEslips is installed click on the 'Start' button.

Step 2) Go to 'Programs' or 'All Programs' and find the PHONEslips program group.

Step 3) Right click on the PHONEslips shortcut (with the pink icon) as pictured here.

Step 4) Look at the 'Target' or the 'Start In' line to find the path for your PHONEslips files. Click here for an example. So in this example, the PHONEslips files are located in the L:\Pslips directory.

Adding new user licenses

Note: The additional user license(s) will arrive on a floppy disk or via e-mail, depending on what you specify when you order the new license(s). To add the new license(s) run the LICENSES program as follows:

Step 1) Have everyone close PHONEslips. To do this click on the X in the upper right hand corner of the PHONEslips toolbar, or right click on the PHONEslips system tray icon and choose 'Shutdown'.

Step 2) Browse to the directory where PHONEslips is installed and double-click on the LICENSES.EXE file or type LICENSES from a DOS (Command) prompt when in the PSLIPS directory and Press Enter.

Implementing Passwords

To implement password protection, the system Master Password must first be enabled. This is the system-wide password that supersedes all other passwords.

To set the Master Password:

Step 1) Bring PHONEslips into full application mode by clicking the Full Application button from the PHONEslips Toolbar.

Step 2) Go to the Setup menu and select Password.

Step 3) Select Master from the list. A small dialog box will appear describing the function of the Master Password.

Step 4) Click the Yes button to proceed to the Set Master Password screen.

Step 5) Click the Set Password button and enter a password, up to 19 characters.

Step 6) Retype the desired password again to confirm the correct spelling.

To set individual passwords:

Step 1) Bring PHONEslips into full application mode by clicking the Full Application button from the PHONEslips Toolbar.

Step 2) Go to the Setup menu and select Password and Individual.

Step 3) Select the desired name and click OK.

Step 4) A User Password dialog box will appear allowing the user to set the password and select the application where the password is to be applied.

The Phone Password

Note: Once the Master Password has been set, the Phone password is automatically given the same password as the Master Password. This is to completely prohibit access to all messages once an individual password has been enabled. If other users desire access to Phone messages, a new Phone password must be enabled with a different password than what was used for the Master Password. This password is a global password for all users needing access to Phone messages. If the Phone password is entered for a given user's messages, only Phone messages will be displayed. Memos and E-mails are still restricted when the Phone password is entered.

To set the Phone Password:

Step 1) Bring PHONEslips into full application mode by clicking the Full Application button from the PHONEslips Toolbar.

Step 2) Go to the Setup menu and select Password and Phone.

Step 3) Type in the Master Password to disable the default preset password, and enter the desired new password.

Step 4) Retype the Phone password to confirm the spelling.
