Sending an urgent message

Step 1) Click on the 'Take a message' button from the tool bar, or right click on the PHONEslips system tray icon and choose 'Take a message'. Click here to see an example.

Step 2) Select the message type (Phone, Memo, or e-mail). Make sure to click on the urgent box to put a check in it. If the box is left unchecked, then the message will not be marked as urgent. Click here for an example.

Step 3) Once the message has been filled out, and the urgent box has been checked, click on send.

Saving a message as a draft

Step 1) Click on the 'Take a message' button from the tool bar, or right click on the PHONEslips system tray icon and choose 'Take a message'. Click here to see an example.

Step 2) Once a message has been typed, right click on the title bar for the window and choose the 'Send to folder' option. Click here for an example.

Step 3) Choose the folder you would like to save your draft to. This allows you to save the message in a folder until you are ready to finish it and then copy the finished version to the appropriate person(s). This is also useful for saving templates of messages that you send out often.

Sending messages to multiple users

Step 1) Click on the 'Take a message' button from the tool bar, or right click on the PHONEslips system tray icon and choose 'Take a message'. Click here to see an example.

Step 2) Click on the icon next to the 'To' field as shown in this picture.

Step 3) Click on a group(all groups start with an *) or right click on individual users that the message is intended for. This will put a red check mark next to their name. Click 'OK' when done as shown in this example.

Step 4) Enter the message and click the 'Send' button when done.

Attaching a file to an e-mail message

Step 1) Click on the 'Take a message' button from the tool bar, or right click on the PHONEslips system tray icon and choose 'Take a message'. Click here to see an example.

Step 2) Click the e-mail picture as shown in this example.

Step 3) Fill out the message then click on either of the attachment areas as shown in this example.

Step 4) When the attachments window opens, click on the add button to bring up the windows explorer file search window. Up to 40 files may be added using this method. Click here for a picture of the attachments window.

Activate the personal Send Log

Step 1) To activate the Send Log for messages taken by a particular user go to their workstation. Click on the full application button on the PHONEslips toolbar as shown in this example.

Step 2) Click on the 'Setup' menu and choose options as shown in this example.

Step 4) Click on the Message tab at the top of the options window.

Step 5) Make sure the box labeled "Send Log" is checked as shown in this picture. If this box is unchecked then messages sent by this user will not be recorded in the send log. Having the box checked will cause PHONEslips to make a copy of every message that is sent from this user until they remove that check in the "Send log" box.

View the personal Send Log

Method 1

Step 1) Click on the full application button on the PHONEslips toolbar as shown in this example.

Step 2) Click on the view menu and select 'Send Log', then select 'New' or 'Archive' depending on the situation. Click here for an example.

Method 2

Step 1) Click on the Inbox icon in the PHONEslips toolbar or the full application, or right click the PHONEslips system tray icon and choose View Inbox.

Step 2) Right click on the title bar for the window. A new menu will open, Click Send Log(New) or Send Log (Archive) as appropriate. Click here for an example.

Searching the personal SendLog

Step 1) Click on the full application button on the PHONEslips toolbar as shown in this example.

Step 2) Click on the search menu, choose Send Log and select either new or archive as appropriate. Click here for an example.

Step 3) A new window with search criteria will appear. Fill out the criteria as needed and click on the find button. Some of the criteria available: Date ranges, type of message(e-mail, memo, phone message), and the message contents.
