Setting up a Timed Auto-Sync for the Pocket PC Link Setting a Timed Auto-Sync for the Pocket PC Link allows the product to synchronize with Outlook, based upon a designated poll interval. The polling interval can be changed as desired. This feature can be used to synchronize automatically with Outlook even if a PDA is not connected to the computer. NOTE: If you are going to use the Auto-Sync feature, you may want to have the PocketPC link start when Windows loads. To accomplish this, open the PHONEslips Link to Pocket PC window and then click on the Options tab. At the bottom of the window check the 'Run program when Windows starts' checkbox, as in this example. To setup the Auto-sync: Step 1) Click on the Windows Start button, select Programs (or All Programs for XP users) and find the Startup group. Step 2) In the Startup group, right click on the PHONEslips link to Pocket PC shortcut, and choose Properties from the menu. Step 3) In the target field, at the end of the line, add " /pollX" (where X is the number of minutes you want between poll cycles). The completed Target line should look something like this:
Or if you use an optional INI file: L:\Pslips\pspocket.exe c:\users\eric.ini /poll60 ------ As another example; if you were to set the value to 1, and each synchronization takes 45 seconds, the next cycle would start 15 seconds after the first synchronization cycle ends. To enable the Message Link feature, you must select an Outlook message folder when adding a link. Outlook message folders have a unique icon, usually named ‘Inbox’, and must have a message class of IPM.Note, which is the Outlook default for messages. Once you select an Outlook message folder, you will be asked what type of message link you would like to create. Follow the steps below to create a new message link: Step 1) Open the PHONEslips link to Pocket PC window and click on the Add button. Step 2) Select your Inbox icon from the Outlook Select Folder window that appears, then press the Ok button. Step 3) If this is the first Inbox link that you have created you will get a dialog box asking you if you are creating an Outgoing link. Click here for an example. Clicking the Yes button on this dialog will create an Outbox link, clicking the No button will create an Inbox link. Inbox – This link will synchronize your PHONEslips Inbox with the selected Outlook folder. Some important information about the Inbox link: - All new messages in PHONEslips will be added to Outlook when synchronized. - Changes made to the messages in Outlook will be reflected in PHONEslips, and messages read in Outlook will be marked as read in PHONEslips. - New messages in Outlook will not be added to PHONEslips. - Deleting a message in Outlook will only archive the message in PHONEslips. Outbox – This link allows you to send messages from Outlook to a PHONEslips user, or an external e-mail address using the PSEmail Gateway. Any messages in the linked Outlook folder will be deleted from Outlook and sent through the PHONEslips message system. You will be asked to provide a PHONEslips username for this type of link. Unlike other links, the username is only used for notification purposes. Notifications are sent to this user should a problem occur while sending the Outlook message through PHONEslips. Typical notifications involve an invalid ‘To’ field or Email address.

Exception handling for message items Exception handling refers to those situations in which a field, feature, or operation in one application is not supported or handled differently by the other. The way the PHONEslips Link to Outlook handles those unique situations is specified below. · Foreign language characters in Outlook are converted to question marks “?” in PHONEslips. · If a carriage return is used in a field within Outlook that maps to a single line field within PHONEslips, it will be converted to an underscore “_”. If the carriage return is desired in Outlook, the underscore “_” character must be maintained in the PHONEslips record. · Messages deleted from Outlook are archived in PHONEslips. Messages undeleted in Outlook will be added back to PHONEslips as a new record, and the Archived copy is not removed. · Messages viewed within Outlook will be marked as viewed in PHONEslips. Outlook messages are not marked as viewed when the message is viewed in PHONEslips. If you view a message in Outlook, then later mark it as unread inside Outlook, the message will not be marked as unread in PHONEslips. · Attachments will not be synchronized through either the Inbox or Outbox link. If an exception is not listed here, assume direct data correlation between PHONEslips and the hand-held organizer. The schedule link will synchronize your PHONEslips schedule with the selected Outlook Calendar. If you wish to specify a date range so that only the required portion of your PHONEslips schedule is added to OutlookClick on the Options tab in the PHONEslips link to Pocket PC window, and change the 'Only add Schedule items to Pocket PC that occur less then' setting, as in this example. The setting only applies to PHONEslips items being added to Outlook. All Outlook items are added to PHONEslips, regardless of the date, except repeating items, which are not supported. Once an item has been added to Outlook it will remain synchronized, even when it falls outside this date range. To setup the Scheduler link, perform the following steps: Step 1) On the links tab of the PHONEslips Link to Pocket PC window, click on the Add button. Step 2) Select Calendar from the Outlook Select Folder window that appears, then push the Ok button. Step 3) The 'Select PHONEslips Scheduler to Link' window will appear. Select the PHONEslips user you wish to sychronize with from the list, then press the Ok button. Important Note:

Deleting the schedule item in PHONEslips once it is deleted in Outlook could prove disastrous if other PHONEslips users relied upon that schedule item. · Outlook repeating items are not supported and are ignored by the synchronization process. You can use PHONEslips to create repeating items, which will be added to Outlook. They will not appear as repeating items in Outlook, but will continue to function as repeating items in PHONEslips. · If an alarm or end time is entered in Outlook that is not for the same date as the start time, PHONEslips will leave the alarm or end time blank. Instead of creating one event that spans several days you may want to create individual records for each day, this way they synchronize with PHONEslips. If an exception is not listed here, assume direct data correlation between PHONEslips and the hand-held organizer. The To-do link will synchronize your PHONEslips To-do list information with the selected Outlook Tasks folder. To setup the To-do link, perform the following steps:

Once you select an Outlook contacts folder you will be asked which PHONEslips PhoneList you would like to link it to. You can select any PHONEslips user or the common PhoneList. This will synchronize your PHONEslips PhoneList with the selected Outlook contacts folder. To setup the PhoneList link, perform the following steps: Step 1) On the links tab of the PHONEslips Link to Pocket PC window, click on the Add button. Step 2) Select Contacts from the Outlook 'Select Folder' window that appears, then push the Ok button. Step 3) The 'Select PHONEslips PhoneList to Link' window will appear. Select the PHONEslips user you wish to sychronize with from the list, then press the Ok button.

Note: The phone number and extension in PHONEslips are treated as separate fields. When the record is synched over to Outlook, the number and extension will be converted to one field with an X and the extension appended to the end of the number. This X must be preserved to maintain the separate extension field in PHONEslips. · The PHONEslips Listname to Outlook ‘File as’ linking is only used when adding new records. After that these fields are not synchronized to allow for different filing methods to be used. Some users may want to file by First Name and others may prefer Last Name or Company. · Contact records in PHONEslips are added as individual records in Outlook. The ‘File as’ field in Outlook will contain the PHONEslips Listname and Contact fields. If an exception is not listed here, assume direct data correlation between PHONEslips and the hand-held organizer.
